Duties

  • Administration, photocopying if requested to do so by fee earners.
  • Collecting DX in the morning.  Delivering DX at 5.15 p.m.
  • Opening post and DX every morning.
  • Taking post at 5.15 p.m.
  • Arranging clerks for Crown Court Hearings, notifying Counsels’ Chambers, completing the standard Crown Court forms when receiving listings.  Notifying clients and fee-earners of listings.
  • Listening to interview tapes and making attendance notes.
  • Collecting interview tapes/CCTV tapes and other documents from CPS/Police Stations.
  • Faxing letters when appropriate.
  • Booking legal visits and appointments for clients to attend the office.
  • Dealing with incoming telephone calls.  Putting calls through to fee-earners, taking full message if fee-earners unavailable. Detailing time and date of messages.
  • Ensuring all message for fee-earners are placed in the correct fee-earners trays.
  • Dealing with incoming faxes and ensuring that faxes are brought to the immediate attention of fee-earners.
  • Ensuring that the fee-earner is aware of the existent of post and DX.
  • Ordering office stock and equipment.
  • Checking all standard forms are available in the relevant trays for the fee-earners to utilise.
  • Generally assisting the fee-earners when requested to do so.
  • Maintaining franchise requirements and the Office Manual at all times.
  • Forwarding and franking post and DX.
  • Following the firm’s procedure of referrals regarding welfare benefits.
  • To undertake time-recording in accordance with the franchise requirements. Concluded Crown Court matters to take priority.
  • To report to partner(s) or provide a list of all files that have been time-recorded on a weekly basis.
  • To generally ensure the smooth running of the practice.
  • Criminal preparation.
  • To attend Crown Court Hearings with Counsel whenever necessary.
  • To ensure that a legible, concise and accurate note is made during the hearing and presented to the fee-earner upon return to the office.  Any key dates and/or directions are to be brought to the immediate attention of the fee-earner.
  • To attend Police Stations during office hours and out of office hours whenever required to do so by the partners.
  • To advise clients whilst at the Police Station in all aspects of the criminal law.
  • To ensure that all key dates are brought to the attention of the relevant fee-earner and are immediately diarised.
  • To interview clients to obtain their instructions.
  • To interview potential witnesses in clients’ matters.
  • To ensure that attendance notes are completed after interviews and any notes dictated/typed and placed on the file.
  • To undertake criminal preparation on all criminal files as directed by the fee-earner.
  • To attend conferences with Counsel during and out of office hours when requested to do so by the fee-earner.
